Lucy's Re-opening


An exciting sign of renewed campus activity, Lucy’s in Somerville House has reopened.  It features new flooring, seating and a bright open atmosphere.  This was done in conjunction with a larger renovation project in Somerville House featuring an impressive new seating and gathering space for students. The team at Lucy’s worked incredibly hard to prepare for the November 8th reopening date and did an awesome job.  Congratulations!

Western EATS launches!

We are pleased to introduce Western EATS providing our customers the ability to pre-order, pay (including Meal Plans), and select a time to pick up their orders.

The App is being promoted to the Western Community through social media, billboards on campus and the HS website. Featured Eateries include Bento Sushi in Somerville House, Centrespot, Subway in UCC and Lower Starbucks (UCC).

Celebrating diversity, this week is about engaging students, faculty and staff, and encourages learning about international education, cross-cultural skills, and cultural traditions and activities.

Mandatory Proof of Vaccination Status

Welcome to another fall season at Western! It is with positive anticipation that Western welcomes 5300 students into residence housing and the resumption of classes on September 8th. All Residence Dining Halls open this weekend, and many Campus Eateries will begin operations by Wednesday September 8th.

All members of our community – including students, staff and faculty – who plan to be on campus this fall are required to demonstrate proof of vaccination, except under rare exemptions.

What does this mean for our Hospitality Team Members? All members of the community must upload proof of vaccination by Tuesday, September 7. Those who have not provided proof that they are fully vaccinated have until October 12 to submit proof of full vaccination, and in the meantime, will be required to be tested for COVID-19 twice per seven-day period to attend campus, with results submitted to the University. Individuals must receive their second dose no later than September 28, 2021, to be considered fully vaccinated by October 12, 2021.

Each employee received an email from Western University, Action Required: Mandatory COVID-19 Proof of Vaccination Status, with a personalized link to complete and input your proof of vaccination status.

You can obtain your vaccination receipt (proof of vaccination) from the Ontario Ministry of Health website at https://covid19.ontariohealth.ca/. You will need to provide your Health Card information.

What we can do to help you. To assist and support you with uploading proof of vaccination Hospitality Services and HAS partners offer the following:

    Kris can provide information on how to access support resources, including technical support, computer workstation access, and in-person assistance.
  2. Connect-IT Staff are available to help walk you through uploading your Proof of Vaccination if you run into any technical issues. Please call the support hotline at 519-661-4225 between 9AM-9PM on Friday September 3rd, through Monday, September 6th. *Identify yourself as a Hospitality Staff Member so that we can better assist you*

Summer Updates

Ahh, the "dog days" of summer, associated with the hottest and driest part of the summer, sometimes interrupted by a few sudden thunderstorms. We hope you are enjoying these dog days of summer, a well-deserved break, a time to relax, recharge and reconnect with family and friends.

However, with August upon us, we are excited to think about fall and a return to campus for students and staff alike!

In the coming weeks you can expect to receive communications about return to work dates and unit assignments. A few of the protocols and measures from last year to assist the smooth operations of all areas will continue as we reopen.

Here are a few updates for your information:

Take Care. Get the Shot.
As we look forward to fall and prepare for a full return to in–person classes, Western strongly encourages all members of the campus community to get vaccinated against COVID-19. It is one of the most important steps you can take to protect yourself, each other, and our community.

Western's on-campus vaccination and testing centre at the Graphic Services Building is now open throughout August and into the fall to accommodate first and second doses for students and employees. Vaccinations are required for students living in residence and we strongly encourage all members of the campus community to get vaccinated as soon as they can.

A three-layer non-medical mask remains a requirement for those working and studying on campus, both indoors and outdoors where physical distancing is challenging. Western will continue to follow public health guidelines, working closely with Middlesex-London Health Unit.

New faces and places. We are excited to be opening a full-service Starbucks this summer, more about that below! Craig Clifford, Operations Manager and Brady Parr, Area Manager have joined the Campus Eateries team and for Lesley Cook it feels a bit like coming back to the future, returning to a busy Residence Dining as Operations Manager this fall.

Residence Life:
Many of the activities typical of startup will resume, which include housing international students in August; hosting the Mustang Football team for meals in early September; Housing L&D meals ahead of Move-In; and a four day move-in over Labour Day Weekend (September 3 - 6).

The residence system is at full occupancy this year with 5300 students expected to move Labour Day weekend.

Lambton Hall is now a first year suite style residence with 280 beds. It offers an optional meal plan with Saugeen-Maitland Hall providing the closest dining hall.

London Hall, with 417 beds, will operate as a first year residence again this year, providing a mandatory meal plan and nearby dining in Essex Hall.

Delaware, Essex, Elgin, Medway-Sydenham, Ontario, Perth and Saugeen-Maitland will be at full occupancy this September.

Alumni House may house first year students if needed. Residence for upper-year students will not be offered for the 2021-22 academic year.

Campus Eateries:
With the announcement of a return to in–person classes, planning has quickly turned to reopening eateries for the fall. A brand new full service Starbucks in lower UCC is scheduled to open mid-August. We are also excited for the future arrival of a new ChaTime (bubble tea) concept, currently in the planning stages, also in lower UCC.

Argo Tea is no more. Once the Weldon Library renovations are completed, a new eatery will be introduced in late fall, early winter.

Lucy's will see new flooring and seating throughout, as the entire main level of Somerville House will soon reveal a massive transformation.

Vaccine Updates

To all Hospitality Services employees,

It's been a year like no other. There have been plenty of sacrifices, and yet we were able to accomplish so much together. Thank you for going the extra mile to provide safe and welcoming food experiences for our Western community. It cannot be said enough how much Western appreciates the kind and caring attitudes you bring every day at work. We now have some good news to share!

Vaccine Eligibility

According to the Middlesex-London Health Unit (MLHU), Hospitality Services employees are now eligible to book an appointment to receive a COVID-19 vaccine. While the province is in Phase 2 of its vaccination plan, you belong to a group that includes essential and critical retail workers who cannot work from home (including grocery workers, pharmacy staff, wholesalers, and restaurant employees).

We also recognize that some of you may have already received your first shots due to your eligibility based on age and other criteria. Good work!

We hope this news brings you relief knowing that we are one step closer to the end of the pandemic, and safer times with friends, family and coworkers are in sight.

Western encourages all Hospitality Services employees to get vaccinated against COVID-19. All authorized vaccines in Canada are proven safe, effective and of high quality. By getting the vaccine you are protecting not only yourself and your family, but your community as well.

Vaccine Clinic Locations

Vaccination Clinics are currently operating at the Western Fair Agriplex and the North London Optimist Community Centre in London, Caradoc Community Centre in Mount Brydges, St. Thomas-Elgin Memorial Arena, and Goff Hall - Woodstock Community Complex. Appointment Booking

Hospitality Services employees can now book a vaccination appointment either by phone or online. You are NOT required proof of employment from Western to book an appointment.

  • PHONE: Call 226-289-3560 (8:00 a.m. to 7:30 p.m., Monday to Sunday).

  • ONLINE: Visit www.covidvaccinelm.ca. Choose 'Category 3: Eligible Occupations', and select 'Essential and critical retail workers'.

The MLHU has been reporting high demand for appointments so don't be discouraged if you aren't able to book right away. Keep checking each morning at 8:00 a.m. for new appointment slots.

A health card is not required to be vaccinated, but if you do have a health card, please use it when booking your appointment and bring it to your vaccination appointment.

CUPE 2692 Updates

To all CUPE 2692 Employees,

With the University moving to an essential services model effective March 25th, there are important updates to share:

CUPE 2692 staff will be compensated in the month of April for shifts we project would have been assigned, had we not had a pandemic disruption. Projected or mock April 2020 schedules for payroll purposes are just now being finalized and will be posted on the Hospitality Services staff website (in the secure login area) once completed. The schedules will reflect the originally planned closures once classes end on April 3rd, as well as the reduction in hours of operations for Easter weekend and the end of exams on April 26, 2020.

Due to the COVID-19 pandemic, Western will not be hosting Congress 2020 on campus this spring and therefore, Hospitality Services will not be involved. Congress continues to explore an online meeting possibility instead.

Residence Dining continues to serve approximately 358 students who remain in first year residences until the end of April. Schedules and hours of operation for these limited services will be posted in the units and communicated directly with those staff who continue to be available to work on campus.

Self-reporting of employee absence

Notice applicable to all employees at Western,

Beginning March 15, 2020 all Western employees are asked to use a new, on-line absence notification tool to track and monitor unanticipated absences from scheduled work.

Why? The health, safety and wellness of the university community is important to Western. During the current COVID-19 situation, it is essential for Western to track unanticipated absences for the University. The Middlesex-London Health Unit and Western's Continuity & Operations Group must receive this data to be able to quickly understand the magnitude of absences and make decisions about the University's ability to continue operations safely.

What? An on-line reporting tool is now available and all full-time and part-time faculty, staff and student employees are required to use the tool to self-report any unanticipated absences. The tool is accessed via My Human Resources, the same application you currently use for monitoring earnings and other employment related information. It can be accessed by computer or mobile device. Go to https://www.uwo.ca/hr/my_hr/index.html.

How? You will log on, and then select the Absence Notification tile. You will be asked to enter the type of absence (sick leave, family responsibility or compassionate/bereavement) and the reason for the absence (flu-like symptoms, self-isolation, workplace illness or injury, other, care of ill relative, childcare due to closure, death of immediate family, death of other).

The absence can be entered for the current day or for past days, and notification is to be provided for each day of absence from scheduled work. When the notification is saved, an email is automatically sent to your supervisor notifying them of your absence and to yourself for your own records.

If you do not have access to a computer or mobile device, you may call Human Resources at 519-661-2194, select option 3 and be directed to an Employee Leave Coordinator who will record the absence and send a notification to your supervisor.

On-line absence notifications to Human Resources will not affect pay transactions or compensation. Part time and contract workers not normally paid sick leave, who were scheduled to work and reported their absence on the Absence Notification tool or by contacting Human Resources will be paid. Supervisors and administrators will continue to enter hours worked to generate pay for hourly-paid contract employees. Salaried employees will continue to be paid in accordance with their employment contract provisions for various leaves.

Congress of the Humanities and Social Sciences (CANCELLED)

Dear Hospitality Services Colleagues,

From May 30th to June 5th, 2020, Western will be hosting the Congress of the Humanities and Social Sciences. The Congress is the largest gathering of academic researchers in Canada where over 70 scholarly associations come together and each hold their annual conference, under one umbrella. It is expected to be the largest conference that Western and London have ever hosted and is expected to draw in excess of 8,000 attendees. Being selected as the host in 2020 for this large, prestigious and high-profile event, is a great honour for Western. For more information about the Congress, please visit http://congress2020.ca.

As you can imagine, the coordination and logistics of hosting such an event are large and complex. As such, planning for the Congress has been going on for over a year and will continue in earnest over the next few months. The size and scope of this event is such that it will impact most, if not all, areas on campus and will be one of the top priorities of the Western community in the lead up to and during the event. It is currently estimated that over 500 University spaces, in 28 buildings, may be used during the Congress, to host different types of events including meetings, lectures, receptions and other special functions.

Hospitality Services has been tasked with supporting the Congress and its food and beverage needs. This is a massive event and will be a coordinated effort between Great Hall Catering, Campus Eateries and Residence Dining. Attached are the proposed hours of operation for each of the units.

Great Hall Catering:

There will be approximately 700 events/orders spread over 7 days, with Monday being the heaviest day with 150 separate events/orders.

Due to the size, scope and profile of this event, we fully expect there will be a need for Hospitality Staff from all divisions, during the period of May 25-June 5, 2020, to be available and ready for work. We anticipate full schedules in Campus Eateries and Residence Dining and huge requirements from all 3 divisions to help with Great Hall Catering's requirements.

We are asking all Hospitality Staff, CUPE, PMA and UWOSA not to book vacation for this period and be available for work. If you have extenuating circumstances and need to book time off during this period, please speak to your leader as soon as possible. We recognize that this may pose an inconvenience to some of you but we thank you for supporting the University during this important event.

New information regarding the distribution of your T4 slips

Corporate Human Resources has notified us that beginning in February, T4 tax slips will be provided to active Western employees by electronic delivery through My Human Resources.

Why this change?

Recent amendments to the Income Tax Act allows employers to use electronic distribution of T4 tax slips as their default method. Electronic delivery is fast, secure and convenient.

What you need to know

If you prefer to receive paper tax slips by mail, you must login to My Human Resources and submit your request by no later than February 15, 2019. If you prefer to view and print your T4 slips online, no further action is required. You will be notified by email when your tax slips are ready.

New smoking restrictions now in place

Western has taken the next big step to create a smoke-free campus with the establishment of designated smoking areas. Six new designated smoking areas are the only places on main campus where smoking will be permitted. Western's Board of Governors approved changes to Western's Smoking Policy 1.16, which can be found at:

The designated smoking areas are an interim step. On July 1, 2019, Western will go fully smoke-free.

Western's work to "clear the air" began in 2015 with a cross campus consultation on smoking that included a survey of all faculty, staff and students. A large majority of respondents supported a move to a smoke-free campus.

Enforcement of Western's smoking policy has been a common area of inquiry during the consultation stage. Beginning in late August, Smoke-Free Campus Ambassadors will be visible around campus speaking with smokers and offering information on the new policy. They will point smokers to the website www.uwo.ca/cleartheair for information on the policy and about the help that is available to those who wish to quit smoking. As we work to clear the air, all members of our community are encouraged to help by respectfully approaching and informing smokers who may not be aware of the new restrictions.

If you are a smoker, please respect those around you by smoking only in the designated smoking areas.

Fifty percent of smokers who responded to our 2016 survey on smoking, said they wish to quit smoking within the next year. Western is partnering with the Middlesex London Health Unit, and has offered two on-campus workshops already for those who wish to quit. Another on-campus workshop is scheduled for the fall. In addition to the workshops, information about further cessation supports provided by Western and other community agencies area are available at

Important Information re 2015 tax return

It is almost T4 time. Western Human Resources wants to make sure your 2015 T4 and T4A slips for income reach you so that you can accurately prepare your 2015 tax return.

If you have moved in the last year, please login to My Human Resources to check and update your address before February 2. Printing of T4s and T4As will begin shortly after that date and they will be mailed to your home address by the last day in February. My Human Resources can be found at www.uwo.ca/hr/my_hr/. To update your address choose "Personal Information", then "Home Address".

Important Information re Tax Forms & Pension Statements

Human Resource Services at Western is preparing a number of documents to send to you at your home address including your tax forms (mailed by February 28, 2015), your Pension Plan Statements (April 2015) and your Total Compensation Statement for full-time employees (May 2015). In previous years, these documents were sent to department addresses. This year, all will be mailed to the home address that is on our Human Resource records.

We would like to make sure these important documents get to you in a timely manner and so we ask you to login to My Human Resources with your Western User ID and password, to verify or update the home address on record. You may edit the address online or notify Human Resources of the change BY FEBRUARY 11, 2015. If you are also a registered student at Western, it is important to note that you must update your address on both the student system and My Human Resources.

The My Human Resource system can be accessed by current employees and by former employees who ended their relationship with Western in the last year. Go to http://www.uwo.ca/hr/my_hr to access this system.

Job Postings

As CUPE 6292 positions become available within Hospitality Services, they will now be posted on the Working at Western site. Qualified members of the Hospitality Services team are encouraged to take advantage of these opportunities and apply for postings of interest. Although Western welcomes all applications from qualified individuals, first consideration will be given to qualified CUPE 2692 applicants.

Application Process

Applying for HS job postings is an online process through the Working at Western site. You can submit your resume or simply complete the online application form.

If you do not have access to a computer or require assistance, please consider the following options:

  1. Check with your Manager or Supervisor to determine if it is possible to arrange access to some computer time in your unit.
  2. Visit the HR Communications Centre in Support Services Building (Room 5100) as there are some public access computers. Should you have any difficulties with the online process, the HR staff will be happy to provide assistance.
  3. Public libraries in London also have computer terminals available for use.

Reminder... Job postings will be displayed for a seven day period.

Record of Employment Update

With the lay-off season upon us once again, I'd like to remind you that all Records of Employment (ROEs) will be e-filed directly to Service Canada. You will not receive a paper copy. Once you have filed for Employment Insurance (EI) benefits online, Services Canada sends out some information by mail, including a four (4) digit access code. This access code, along with your Social Insurance Number, can be used to confirm with Services Canada, that the ROE has been matched with your EI file.

Time and Attendance Program - QS2 System

Hospitality Services is excited to announce that we are going electronic in managing time and attendance in our operations. The days of having to remember to write your hours on timesheets are over!
